Sharing and Distributing Simulations

Author accounts cannot directly share their simulations with departments or courses. Typically an Author will share their simulation with a Course Admin, Department Admin, or Organization Admin who will then share it with their respective course, department, or organization.

Sharing as an Author

To share a simulation you just created as an Author, first find the simulation in your Simulation Library.

Next, find the simulation you created that you wish to share and click on the "Share Simulation" button that looks like three dots connected by lines.

This will open up a new sharing window. As an author account, you will only be able to share the experience with other Users. So for example if you wanted to share your simulation with everyone in a course, the best account to share your simulation with would be that course's Course Admin user.

To add a user, use the "Select Audience" text input box and search for the username of the admin user you want to distribute your simulation, then click on the option that appears in the dropdown below

Clicking on a user in the dropdown will add them to a list of users below this box.

If you wish to set an expiration on when this simulation will stop being shared, you can use the Settings box below the user search field and click on the Calendar icon to select a date when the sharing will expire. Typically this will be used by Course Admins for their students, instead of by Authors.

Once you are done adding the distributing users, click on the "Save & Close" green button in the bottom right corner of the sharing window.

Distributing as an Admin

Organization, Department, and Course Admins are responsible for distributing simulations to their organizations, departments, and courses.

There are two primary ways that Learners will experience simulations: practicing simulations in their Library, and submitting simulation recordings as part of an assignment.

The process for sharing simulations for Learners to find in their library starts by finding the simulation in your own Library and clicking on the "Share Simulation" button that looks like three dots connected by lines.

In the sharing window, you can use the dropdown under the "Select Audience" section to change the search bar from showing you Users to showing you Courses or Departments. In the below gif a Course Admin chooses to reshare this simulation with their course "Data Structure in Practice"

When a Course Admin reshares a simulation, they have the option of using different settings for their fellow Course Admins than for their Learners.

For example, if the Course Admin wanted to set an end date for the Learner's access to the simulation in the library, then they could find the "Group-Only Settings", click on the "Learners" checkbox, and get access to a new "Expires On" calendar slot. Click on the button that looks like a calendar, then use the pop-up calendar to select a day when the access will expire.

To add all currently listed users, courses, and departments, click on the black "Share with" button. This will allow you to add the Course Admins without an expiration date if you wish.

If you wish to remove the expiration date, you can open the calendar and click on the "Clear" button.

You will find that at the bottom of the window there is a scrollable list of all the people and groups that have access. If you have already pressed the "Share" button for all the added groups and users, then the bottom right corner will show a grey "Close" button you can click to exit the sharing window.

If there are still groups that have been added to the sharing list but haven't actually completed the sharing process, then you can click on the green "Save & Close" button to finish sharing and close the window at the same time.
