Foretell Reality is a virtual reality platform that strives to make remote people feel near and remote scenarios feel real.  Foretell Reality leverages advancements in technology like virtual reality and AI to create virtual meeting spaces where clients can meet in a more immersive and interactive environment.

## Beautiful VR Environments&#x20;

Each environment is tailored to evoke a feeling, whether it be professional, casual, friendly, or familial, and encourages users to actively participate, collaborate, and play with innovative tools. From indoor environments like a cozy meeting room with a porch, to outdoor environments like a campsite where you can roast marshmallows and drink hot cocoa, clients can choose to include as many environments as they need for their enterprise use case.

## Social VR Experience

Taking into account the computing power of current VR headsets, our social VR experiences support up to 25 active participants and an unlimited number of viewers (Observers) in one session. Larger audiences can be split into concurrent sessions replicating the same VR experience, or join the primary session as viewers.

## Multi-Media Player

We provide a wide range of tools to support different learning styles, including the presentation of 3D objects, 360 pictures and videos, 2D media, spatial drawing, and more. By offering a spectrum of media that is simply not available in traditional learning environments, we help to inspire engagement and productivity in learners of all backgrounds and learning styles.

## Roles & Permissions

The Foretell Reality Platform allows setup for user roles and respective permissions at two levels:

1. **System administration capabilities** which determine whether a user is allowed to create new users, configure permissions, and select features available for each VR experience.
2. **Experience capabilities** which determine the functionality that is available for each role during a VR experience. A Leader has access to all experience functionalities and can grant or disallow access to regular users (Participants). Observers are users who are invisible to Participants, cannot use all the capabilities that Participants can, but can record and document the sessions.


# Downloading Foretell

Foretell Reality Group is available on Meta Quest and PC platform.  There are three methods to download Foretell Reality Group on for VR on the Meta Horizon Store.

### 1. From within the headset&#x20;

Proceed to the Meta Horizon Store and type in “Foretell Reality Group” and begin to download.

### 2. From a web browser

[Click here](https://www.oculus.com/experiences/quest/3698793833551835/?utm_medium=share\&utm_source=oculus) to access the Foretell Reality Group page on Meta Horizon Store.  Click the blue “Get" button to add it to your Meta account.  You will then be prompted to sign in to your Meta account, click "Log in with Meta account'' – on the next page, click the login method that applies to you.   After successfully signing in to your Meta account, the Foretell Reality Group app will be ready to download in your headset's app library.

### 3. From the Meta Horizon mobile app

Open the Meta Horizon mobile app on your smart phone.  Enter “Foretell Reality Group” in the search bar and click search. Once you find the app click the blue “Get" button and the app will then be available ready to download in your headset's app library.

#### 4. To download Foretell Reality on PC, access the link here: <https://foretellreality.com/download-foretell/>

* Click the option to "Download Foretell Reality to your Desktop"
* Download the Launcher app and run it
* The first time you run this Launcher it will download the latest version of Foretell Reality Group
* Going forward, new versions of Foretell will automatically get downloaded by this launcher

* Please note the first time you install the application you must Allow Permission to recording audio and media storage in order to provide access to the microphone.<br>

1. Once the application opens, you will be asked to enter a client code, username and password. These credentials will be provided to you in advance.
2. Use the Trigger Button to select from the keyboard and enter your credentials.
3. To use the virtual keyboard, hover your pointer over individual letters and then press the right or left hand Trigger Button.&#x20;
4. Once you have entered your user credentials, hover over the ‘Login’ button with your pointer and press the select it using the Trigger Button.

* After successfully logging in you will be brought to the Lobby where you should see an avatar in front of a virtual mirror with the ability to click "Choose Preset” or “Create Custom.”

  * Clicking the “Choose Preset” button will give you different preset options for you to choose from.

  * Clicking the “Create Custom” button will take you out of the Foretell app and into the Meta Quest menu to configure your avatar.&#x20;

  * To save an exit from the Meta Quest avatar configuration menu, **press the Oculus button on your controller**. Upon closing the menu, your Meta Quest avatar configuration will load in to the Foretell app.
* Before entering a shared VR environment you will also need to type in a Display Name you would like to be identified by in the group. Note that the Display Name does not need to be your real name.

**Set Your Voice Pitch**

In the Lobby you will see a virtual mirror with the ability to click “No modifier” and “Echo Voice” button.

1. Clicking the “No Modifier” button will give you options to adjust the pitch of how your voice sounds to others, either high or low.
2. Clicking the “Echo Voice” button will add an echo effect to your voice so that you can hear what you sound like with the modification.

All of these avatar customization options are also available after you have joined a meeting. However, a name and starting avatar are required to join a meeting.

Foretell Reality provides the ability to host Public Meetings and Private Meetings.

* Public Meetings can be accessed by all users signed in with the respective client code. &#x20;
* Private Meetings are those setup with specific invitees.
* Private Meetings can also be setup to require a unique Meeting Room Code.
* To join a meeting click on the tile for the meeting you would like to join and "Join" on the confirmation popup modal or enter the Meeting Room Code.

# AI Avatar

## AI Avatar Interaction Overview

1. Once you enter the AI Avatar meeting room, there will be an avatar ready to speak to you.
2. Approach the avatar and a loading bar will complete indicating you have the avatar's attention.
3. Begin speaking to the avatar.

* *Important - the default AI Persona in the first room is a comedian, so in order to speak to the Accounting Clerk persona you will need to select the prompt from the AI Controls section of the tablet.  See steps below.*&#x20;

## Selecting Custom AI Avatar Persona

1. 2. Click the Foretell Tablet button - the icon furthest to the left on the Quick Menu - to open your full Tablet.
3. Select the **Tools** tab on the left then click **AI Controls** to change the Avatar's appearance and background persona prompt.
4. In **AI Controls** you will have the ability to
   1. Click on the names at the top right to change the avatar's appearance.&#x20;
   2. Change the AI Avatar's background persona prompt
   3. Adjust the temperature to see how it affects the AI Avatar's responses.  Temperature refers to the level of randomness in the AI model - a lower temperature will result in more predictable output, while a higher temperature will result in more random output.

# Controller Functionality

**Trigger Button** - select buttons in VR.  For example, selecting keys from the virtual keyboard, interacting with your personal menu, and changing seats when enabled

**Grip Button** - allows you to grab virtual objects with your virtual hands

**Oculus Button** - return to the headset main menu and quick settings menu

**Menu Button** -  open and close your quick menu

**Thumb Stick** - allows you to move forward and backward and rotate left and right

**A Button** and **Y Button** - allows for long distance teleportation

# Quick Menu

Once in a shared VR scene you will navigate the features within Foretell using the Quick Menu.

1. To bring up your Quick Menu, click the Menu button on your left Meta Quest controller.
2. From the the Quick Menu you can change your avatar, mute yourself, adjust your height in the VR scene, and leave the meeting.

The Menu will allow you to experience the full set of features that Foretell Reality has to offer.


# User Roles and Permissions

Foretell Reality has three main user roles and permissions. Each role provides a different tablet permission and visibility setting.

* Leader: This role has the highest permissions and serves as the meeting leader. They can change locations, play media, enable and disable interactive activities, and more.
* Participant: These users are visible with an avatar and are able to speak, but will not have access to media, movement, or activities unless given permission by a Leader.
* Observer: This role will be able to attend meetings but will not be visible or audible.  Observers cannot interact with virtual objects and have recording permissions when used on desktop.

The user roles are differentiated by the permissions they have in their quick menu. To open or close the menu, click the flat Menu button on the left controller.&#x20;

Refer below to see the quick menu permissions accessible to each role.

## Leaders

* Mute themself and/or mute all participants
* Customize their own name and avatar
* Enable seat switching for themselves or everyone in the room
* Play 2D and 360 degree media
* Change virtual environments
* Adjust their own and other participants’ height
* Enable room-wide activities such as painting or an interactive ball
* Change audio settings
* Ban users
* Change accessibility settings
* Note - the button with 3 connected people enables the feature for everyone in the room

**About Spectator Mode**

There are two recording options in Spectator Mode:

1. Record Screen Mode - offering the ability to take a video from the Point of View of the Observer making the recording. Remember that Observers can also “walk” around the room to record from different angles.
2. Camera Studio Mode - a mode that cycles through cinematic angles and shifts focus to whoever is talking
   * While in Studio Mode you also can change to manual control and make your own shot selections

**Resolution selection** - you may select resolutions from 360p to 1080p.  Higher resolutions might affect app performance, and lower ones will render less clear videos. We recommend starting at the default 1080p, and lowering it if there are any visual stutters during recording or playback. The performance of your computer will be a key factor in determining which resolution is best for you.

**Screen Shots** - while recording, press the ‘P’ key on the desktop keyboard to take a screenshot, which will be saved to the same location as the recordings.


# Locomotion

Foretell Reality has three main types of moving from place to place

1. Room changing - moderators are able switch the room for all participants effetely moving to a new virtual environment

2. Seat switching - in a room with seats, users are able to switch from seat to seat by pointing at an unoccupied seat and selecting it using the trigger button.

3. In Room Locomotion - in rooms that have walking enabled, there are two primary ways of teleporting round:

* Standard Arc Movement - when holding down the 'A' or 'X' button an arc will come from the controller with a set of feet at the end representing where you will teleport when you let go of the button. When the arc is green, the movement is valid, but if the arc is red then releasing the button will do nothing.

* Joystick Dash Movement - with your thumbs on the joystick, nudge the joysticks forward and backward to move forward and backward and nudge the joysticks left and right to rotate left and right

# Room Moderation

The following are room moderation tools that can be accessed from a Leader's personal tablet:

## Mute All

On the top row of the personal tablet, there is the Mute Self icon and Mute All icon.  The Mute All icon mutes all Participants in the room except for other Leaders.

## Recenter All

Getting into VR can be tricky and users don't always set their guardian floor boundary properly.  If users come into the scene and they appear lower or higher in their chair **click the Recenter All button on the top row of the tablet.**

## Seat Switching

Sometimes it's good to get a different perspective around the room.  To enable seat switching for themselves, a Leader can expand the section next to the Recenter button and click the chair icon so they can switch to open seats within the room.&#x20;

If a Leader wants everybody to be able to switch seats, they will press the "Enable For All" button in the top right corner of the seat switching button.

## User Banning

If a specific user needs to be removed from a session or muted a Leader can access moderation controls for that user from the quick menu.

1. Open the quick menu
2. Expand the section next to the "You" button at the far left of the quick menu
3. Select **User Control List**
4. Clicking on the name of the user who needs to be moderated
5. To ban the user, click on the fourth button which will say "Allowed" when hovered over, but will switch to "Banned" if the button is clicked
6. To mute the user, you can click on the second button that looks like a microphone.

## Secret Chat

Once enabled, a user will be able to point at another user and hold down the trigger button to be able to speak to them and them only. This can be enabled for just the Leader, or for everybody in the meeting.

To enable Secret Chat, the Leader will click on the "Expand" arrow to the right of the Mute button. Then they will click on the Secret Chat button to enable secret chat for themselves. If they wish to enable this feature for everyone in the room, they will select the "Enable for All" button in the top right corner of the button.&#x20;

## Megaphone

Some environments are large enough for users to travel out of earshot. The Leader can turn on a megaphone for themselves so that they can be heard at any distance, and can enable it for everyone in the room if they wish.

# Environment Switching

#### Moderators can change the environment around them, bringing all participants to the new space with them. &#x20;

To switch environments:

1. Open the quick menu
2. Click the "Expand" arrow next to the recenter button that looks like a target
3. Select the "Experiences" button that looks like a location marker
4. In the panel that pops up, select the Environment you'd like to switch to
5. When the Environment window pops up, there are several distinctions you are able to make that determine the functionality enabled in the environment
   * Locomotion Mode Options
     * **Seated Mode** - All users are placed into seats in the environment, either in a circle or predefined seats, depending on the environment
     * **Meditation** **Mode** - Typically only available in environments with a large, flat central area, this mode places everybody seated on pillows on the ground with their legs folded
     * **Walking Mode** - Users can freely teleport and move around the environment
   * Amount of seats - how many people can fit into the environment
   * Interactable objects on or off - Some environments come with interactive objects such as guitars or food items. If you wish to avoid distractions, keep the checkbox labeled "Interactives" off. Otherwise, turn the interactives on!

# Media Control

Leaders can present media including PDFs, images, videos, audio files, and 360 images and videos.

To open the Media window to see what media is available in your meeting,

1. Open the quick menu
2. Find the "Activities" button that looks like a game controller and expand it by clicking on the "Expand" arrow to the right of it.
3. Click on the "Media" button to open up the Media window

There are two primary ways of showing media in your meeting.

Spawning a piece of media creates a new object in the world that can be repositioned, scaled up or down, and deleted.

Presenting a piece of media typically puts it onto a dedicated screen in the environment, or in the case of 360 images and videos replaces the environment with the presented content.

Certain environments such as the Convention Stage, Classroom, Outdoor Theater, and several others have a dedicated area where a presenter can display images, PDFs, flat videos, and audio files.

# 3D Recording

A powerful feature within Foretell is 3D recording.  Leaders can record scenarios in VR, capturing the avatars' movement and speech in order to play it back as a hologram in front of the meeting.  The 3D Recording tool allows users to see themself from the 3rd person point of view and more easily assess their own performance compared to a 2D recording.

**To complete a 3D recording:**

1. Open your quick menu
2. Select the "Activities" from the Menu, or click on the "expand" button to the right of it.
3. Select the "Record" button to open the 3D Recording window

4. In the 3D Recording window, click the "Record" button with a video camera icon to start recording

5. A new window will open with information about how long the recording is. To stop the recording, click on the red camera button.

6. In the list of recordings, find one you wish to play and select the "Play" button to watch the recording
   1. If the recording was made on a different device with the same account, you can download the recording from our servers before playing it.

7. While the recording is playing, you can scrub through the "Playback Time" slider, and you can adjust the scale of the recording playback

# 3D Spatial Drawing

**The Spatial Drawing tools allows users to draw in a 3D space.  Users can select from a pallet of different colors to draw in the space around them.**

To enable the Spatial Drawing Tool:

1. Open up the quick menu
2. Select the Activities button to expand the Activities Tab
3. Select 3D Drawing button and click the "3D Drawing" icon that looks like a pencil and a cube
   1. To enable for everybody, use the "Enable for All" button in the top right corner of the button

When 3D Drawing is enabled, a color pallete appears.

* To begin drawing, grab the brush to the left of the color palette by pointing at it with a controller and pressing the "Grip" button on the controller
* While gripping the paint brush, use the "Trigger" button to paint in 3D space
* To change the color of the brush, point at the color palette with your controller ray and while hovering over a color press the Trigger button to select it
* You can delete drawings or undo and redo brush strokes using buttons underneath the color palette

# Secret Chat

Have you ever wanted to whisper to another participant without letting the rest of the room know?  This is what the Secret Chat feature is meant for.

To enable Secret Chat, the Leader will:

1. Click on the "Expand" arrow to the right of the Mute button
2. Click on the Secret Chat button to enable secret chat for themselves.&#x20;

Once enabled, a user will be able to point at another user and hold down the trigger button to be able to speak to them and them only. On desktop, this can be done simply by clicking on another user.&#x20;

Secret chat can be enabled for just the Leader, or for everybody in the meeting. If the Leader wishes to enable this feature for everyone in the room, they will select the "Enable for All" button in the top right corner of the "Secret Chat" button.


# Interactive Ball

A great ice breaker when a new group enters VR is the Interactive Ball. The  Interactive Ball has multiple speed settings and can liven up a room while people are still getting acclimated to VR.

To enable the Interactive Ball:

1. Open your quick menu
2. Select the Activities tab
3. Select the Ball Game and click the ball icon to active the ball

To use the Interactive Ball use the Grip button to grasp the ball when it is in your vicinity.  Then when the ball is in your possession you can throw the ball to others. &#x20;

If the ball touches the ground or spends too much time without being grabbed, it will respawn in front of the last person to touch the ball after a couple of seconds.

# Avatar Customization

### Foretell supports Meta Avatars and the Ready Player Me avatar system.

**To edit your Meta avatar**: after successfully logging in you will be brought to the Lobby where you should see an avatar in front of a virtual mirror. On this page there is a “Choose Preset” or "Create Custom" button that you can click to edit your avatar.&#x20;

Clicking the “**Create Custom**” button will take you out of the Foretell app and into the Meta Quest menu to configure your avatar. To save your selection and exit from the Meta Quest avatar configuration menu, press the Oculus button on your controller. Upon closing the menu, your Meta Quest avatar configuration will load in to the Foretell app.

Clicking the “**Choose Preset**” button will give you a list of different avatar options to choose from.

**Voice Modulation**

After successfully logging in you will be brought to the Lobby where you should see an avatar in front of a virtual mirror with the ability to click “No modifier” and “Echo Voice” button.

Clicking the “No Modifier” button will give you options to choose how your voice sounds to others – adjust the pitch (high or low). If you want to hear what your voice sounds like, click the “Echo Voice” button.

# Metrics

From within VR we are able to track various types of Metrics such as:

* User Entry Breakdown -- captures when a user enters a VR session and any moments their headset goes to sleep or the user leaves the session&#x20;
* User Speaking Breakdown -- records the moment in to the microphone is open and for how long
* User Gazing Breakdown --   not "eye tracking" but the general direction a user is looking - there is an invisible laser coming from the user's avatar's head and a target "collider" on other avatars' heads and when the laser and the target collider meet is when this metric is recorded

# Adjust Headset Fit and View

Getting the right headset angle and strap adjustment for your head can help reduce pressure on your forehead and create a more comfortable experience. The steps below will guide you through the different adjustments you can make with the Meta Quest headsets.

1. If you're wearing glasses, make sure to insert the [glasses spacer](https://www.meta.com/en-gb/help/quest/3920738394639999/). When you're ready to put the headset on, put it on from front to back.
2. Put the headset up to your eyes by holding it with one hand and make sure you can see clearly. If content is blurry, try to gently [adjust the lenses](https://www.meta.com/help/quest/articles/getting-started/getting-started-with-quest-2/ipd-quest-2/) by shifting them left, then right until they click into the position that allows you to see what's on the screen most clearly.
   1. Do not worry about the straps until you've made sure you can see clearly
3. Now that the content in the headset is clearly visible, use one hand to hold the headset while another hand pulls the strap over your head. This way if the strap is loose, you will not drop the headset.
4. Next, adjust the side straps. To do this, move the two sliders at the back of the strap on either side of where the top strap meets the side straps
   * To loosen the side straps, move the sliders toward the top strap. To tighten the side straps, move the sliders away from the top strap.
   * After you move the sliders, re-center the top strap between the sliders so that the two sides are equal, and the top strap is centered on your head when you put the headset on.
   * Keep in mind, it is easier to remove the headset from your head to re-adjust the side straps with the sliders.
5. Once you've got the side straps set, put your headset back on and adjust the top strap. You can adjust the top strap by pulling apart the velcro and re-attaching it so that your Meta Quest rests lightly on your face and the picture is clear.
6. You can fine tune your headset fit and clarity by gently moving the firm arms on either side of your Meta Quest up and down to adjust the angle of the headset against your face.

### Adjust your headset

Make sure that the straps aren't too tight. The headset should fit comfortably and not apply too much pressure on your face and head.

# Setting Up Guardian

Guardian is a built-in safety feature that lets you set up boundaries in VR that appear when you get too close to the edge of your play area.

* When setting up Guardian for the first time you should see what is called Passthrough, a feature which allows you to take a quick look at the outside world to help you get oriented in space while wearing the device.&#x20;
* We recommend being seated in a chair while in VR and using the Stationary Boundary.  Stationary Mode creates a default Guardian area of 1 meter by 1 meter centered on yourself.
* The first step in Guardian setup is to calibrate tracking by setting the floor level.  Gently lower your controller to the ground and look at it.  You should see a virtual grid appear near the floor.  Once the grid is correctly locked at floor level tap Continue.  From here you can select Stationary Boundary and then you will be transported into the VR environment.

# Turn On Hand Tracking

#### Follow the steps below to turn on Oculus Hand Tracking:

1. Press the menu button on your right Touch controller to pull up your universal menu.
2. Hover over the clock on the left side of the universal menu. When Quick Settings appears, select it to open the Quick Settings panel.
3. Select the Settings button in the top right corner.
4. In the left sidebar, select "Movement Tracking"
5. Select the toggle next to Hand and Body Tracking to turn it on or off

# VR Casting

#### Follow the steps below to cast your view from VR onto a web browser page:

1. Go to <https://www.oculus.com/casting>
2. Select Login and select Log in with the same email as the Meta account on your headset
3. While wearing the headset, press the Oculus button, click the Cast icon, and choose the Computer option.  What you are viewing in VR will then be display on the web browser page.

**To take a screenshot from your Meta Quest headset:**

1. Press and hold the meta button on your right controller, then pull the right trigger quickly.
   1. Once the picture has been taken, you can select the notification that will appear to view your photo, or open the Camera app from your Meta menu toolbar

1. Click the meta button on your right controller to pull up your universal menu.
2. Select the **Camera** app
3. Select the "Take a photo" button

### Video Recording

**To take a video from your Meta Quest headset**

1. Press and hold the meta button on your right controller at the same time as holding down the right trigger. A red dot will appear in VR to indicate that video is being recorded. Repeat the meta button and trigger button press to stop recording.
   1. Once the video has been recorded, you can select the notification that will appear to view your video, or open the **Camera** app from your Meta menu toolbar.

**An alternate method to record a video is as follows:**

1. Press the meta button on your right Touch controller to pull up your universal menu.
2. Select the **Camera** app
3. Select the "Record video" button
4. To stop recording, get back to this menu and click the "Recording" button

# Creating Users

This section outlines the process of adding new users, including navigating to user management, filling in user details, setting permissions, and optionally assigning users to groups.

**Step 1: Access User Management:**

* In the left sidebar select the "Users" option

* Near the top of the screen on the User Management page, click on the button labeled "Add Generic Users"

**Step 2: Enter User Details:**

* In the "Add Users" form that appears on the left side of the screen, fill in the required fields:

  * *First name*: Enter the first name of the new user.
  * *Last name*: Enter the last name of the new user.
  * *Username*: Choose a unique username for the new user.
  * *Email:* This email is no longer used for the invite process, so if you wish you can simply put text in the format a\@b. As long as there's an @ symbol between two letters the form will accept it.

**Step 3: Set Permissions and Roles:**

* Choose a System Capability. Typically the only option is "Viewer", as only Foretell employees can create a new admin account for a client code.

* Choose a Meeting Role for this account
  * *Leader*: This account will be able to move the meeting between locations, play media, and enable/disable interactive activities.
  * *Participant:* This account will be visible with an avatar and be able to speak and move around the room, but will not have access to media or activities unless given permission by a Leader.
  * *Observer:* This account will be able to attend meetings but will not be visible or audible.

**Step 4: Add Additional Entries:**

* To add additional users, click on the plus button at the left of the row to add a new entry. To delete an entry, click on the minus sign next to the plus button.

**Step 5: Assign to User Group (Optional):**

At the top of the list of entries, there is the option to "Add all new users to a user group (optional) with three buttons.

* "None" - enabled by default, the users will not be added to any user group.
* "Existing Group" - selecting this will enable a search bar where you can find the existing group you wish to add these users to.

* "New Group" - selecting this will create a new section where you can define the name and description of a new user group that these users will be added to.

* Review all user entries to ensure the accuracy of the information provided.

# Uploading Media

This section describes how to upload media, including accessing the upload interface, preparing files, initiating the upload, and managing the media within the platform

**Step 1: Access Media page:**

1. Navigate to the admin panel dashboard.
2. Click on the Media tab and then any of the Media sub-pages.
3. Locate and click on the "Upload Media" button to bring up the Upload Media modal.

**Step 2: Prepare Your Files:**

1. Ensure that your files are in the correct format (PDFs, JPGs, PNGs, GLBs, MP4s, MP3s, WAVs).
2. **Note:** that there is a limit of 5 files per upload session.

**Step 3: Initiate the Upload:**

1. Click or drag your media files into the designated area within the "Media Upload" box.
2. If you click on the area, a file explorer window will open, allowing you to select files from your device.

**Step 4: Managing Uploaded Media:**

1. After uploading, you can manage your media by assigning it to meetings as needed through your admin panel.

This page details how to set up meetings, covering access to meeting creation, defining meeting details, setting access levels, scheduling, adding branding, managing media and experiences, and finalizing the setup.

* Meeting Name: Enter the unique name of the meeting in the Meeting Name field.

  * **Private**: Select this option if the meeting is by invitation only or requires an access code.

    * **By Access Code**: Select if attendees require a code to join.
  * **Public**: Select this if the meeting is open for anyone to join.

**Step 3: Set the Timing:**

* **Start**: Pick the starting date and time for the meeting.
  * If you are going to test the meeting immediately, you may want to set the start time in the past
* **End**: Choose the ending date and time.

**Step 4: Add Branding (Optional):**

* Click on the 'Add Logo' button to select an image from uploaded media files
* **Note:** The logo will be displayed on selected experience walls within the environments of your meeting.

**Step 5: Add Media:**

* To enhance the attendee experience, you can add various media files that attendees can view, spawn, or listen to within the meeting center.
* Click on the 'Add Media' button to select media files to add to the meeting. This can also be done after creating the meeting.
* **Note**: before adding media to the meeting the admin will need to upload media to the admin panel. See instructions under the [Uploading Media](/web-admin-panel/uploading-media) section.&#x20;

**Step 6: Adding Experiences:**

* **Starting Experience**: Use the dropdown to select the initial experience for attendees.
* **Add Various Environments**: You can add multiple experiences by clicking the plus sign next to 'Experience Name'. A dropdown menu will appear for each new experience slot you create, allowing you to select from various pre-set environments.
* **Attendee Capacity**: Choose the maximum number of attendees.

* Once all details are filled in, review the information for accuracy.
* Click the "Add Meeting" button in the bottom right corner to save and create the new meeting.

### Q: My headset has low battery. Can I use the Meta Quest while it is charging?

A: Yes, but keep in mind that your range of motion will be reduced since there is a cable attached to the device.

### Q: Why can’t I log into the app?

A: Please ensure that you are using the login information provided by your organization admin. To use the keyboard, point the cursor at the key you want to select and pull back the index finger trigger.

### Q: After changing my avatar, I can’t go back to Foretell app?

A: Press the Oculus button to return to the Foretell app.  Upon clicking the Oculus button, your Meta Quest avatar configuration will load in to the Foretell app.

### Q: Why can’t I hear anyone?

A: Your volume may be low.  Please use the volume buttons under the bottom right part of the headset to increase the volume. If that doesn’t work, please leave the app and rejoin by pressing the Oculus button on your right controller and selecting “Quit”.

### Q: Why do I feel low to the ground?

A: The guardian system that orients the headset to your environment has been improperly set up. Use your personal menu to adjust your height.  Open your quick menu, select the chair icon and click Adjust Self.

### Q: Why am I experiencing lag? Why are there audio/video issues?

A: Your internet connection may be weak.  If you can, move as close to the router as possible and ensure other devices are not using unnecessary bandwidth. If you are connected to a hotspot, ensure that your cellular data connection is strong.

* Upon receiving a report, a Foretell Reality team member will promptly get in touch to gather additional information.

## **Getting Set Up**&#x20;

Please walk through the following steps in order to have the best experience in virtual reality. More information about setting up the device can be found on the Meta Quest Support website if needed: <https://support.oculus.com/795778631158860/>.&#x20;

### **Step 1: Charge the Headset and Replace Batteries if Needed**&#x20;

We sent you the headset already charged, but, to be on the safe side, please plug the charging cord into your Meta Quest 2 headset and a power source a few hours before use. The charging indicator turns green once the headset is fully charged. You can keep charging the headset while using it but note that the power cord will be connected to your device and may limit your movement. A fully charged headset typically lasts 2-3 hours.&#x20;

The battery level of the controllers will be indicated when you are wearing the headset and look down at them. If the batteries need changing, slide the cover downward on the controllers to open the battery compartment and replace the battery. We also recommend cleaning the lens with the sanitized wipes and replacing the batteries if they are low.

### **Step 2: Adjust the Headset Fit and View**&#x20;

1. To start, you'll want to gently adjust the spacing of the lenses by shifting them left, then right until they click into the position that allows you to see what's on the screen most clearly.&#x20;
2. Next, adjust the side straps. To do this, move the two plastic sliders on either side of the strap. To loosen the side straps, move the sliders toward the top strap. To tighten the side straps, move the sliders away from the top strap.&#x20;

* &#x20;After you move the sliders, re-center the top strap between the sliders so that the two sides are equal, and the top strap is centered on your head when you put the headset on.&#x20;
* Keep in mind, you'll need to remove the headset from your head to re-adjust the side straps with the sliders.&#x20;

3. If you're wearing glasses, make sure to insert the glasses spacer. When you're ready to put the headset on, put it on from front to back.&#x20;
4. Place the headset on your head, then remove it and make any additional adjustments to the side straps as needed.&#x20;
5. Once you've got the side straps set, put your headset back on and adjust the top strap. You can adjust the top strap by pulling apart the velcro and re-attaching it so that your Quest 2 rests lightly on your face and the picture is clear.&#x20;
6. You can fine tune your headset fit and clarity by gently moving the firm arms on either side of your Quest 2 up and down to adjust the angle of the headset against your face.

### **Step 3: Connect to Wi-Fi**&#x20;

To change the Wi-Fi network your Quest or Quest 2 is connected to from your headset: 1. Short press the Oculus/Meta button on your right Touch controller to pull up your universal menu. 2. Select Settings from the menu the appears on the bottom of the screen.&#x20;

1. Select Wi-Fi.&#x20;
2. Select the Wi-Fi network you'd like to connect to.&#x20;
3. If prompted, enter the password for the Wi-Fi network you'd like to connect to.&#x20;
4. Select Connect to connect to the Wi-Fi network.

### **Step 4: Setup the Guardian and Play Area**&#x20;

The guardian defines the boundaries for your VR activity. Whether you are seated, standing, or moving, the VR play area should be cleared from obstacles you do not see once you wear the headset. The guardian boundary can be stationary – a static circle, good for seated experiences, or can be Room Scale – which defines a larger area where you can move freely. Once you get close to the guardian’s edge, you will see that a virtual wall&#x20;

appears on your display to alert you that you may have crossed the safe area you defined. Once crossed, the Meta Quest will switch to a “pass-through” mode which shows you the actual environment through the cameras of the headset, so you avoid stumbling into objects.&#x20;

## A Guide to Foretell AI&#x20;

Foretell AI gives learners a safe space to practice professional skills. We leverage the latest advancements in artificial intelligence (AI) technology to create realistic AI Avatars built for immersive roleplay simulations.&#x20;

A key to our platform's success is the ability for users to create their own AI Avatars to play as characters in their own custom roleplay simulations.

This guide is for all those who want to create their own AI Avatar personas and add to the collection of roleplay simulations available on the Foretell AI platform.

## Foretell AI Overview

Foretell AI combines virtual reality (VR) and artificial intelligence (AI) to create natural roleplaying simulations in immersive environments. These roleplaying simulations can be used on desktop, web browser, and VR headsets like the Meta Quest.

Foretell AI is composed of three core components:

# User Roles

Foretell AI has an organizational structure of roles for users.

## Learners

These users can play simulations and submit assignments in courses they have been added to.

## Authors

These users are able to create new simulations. Learners will not be able to play these simulations unless that simulation has been added to a course that the Learner is in or has been shared directly with the Learner.

## Course Admins

These users are typically professors and teachers. They are responsible for adding and removing simulations in their course, managing assignments and tests, and evaluating student submissions.

## Department Admins

These users are responsible for managing different classes within their department.&#x20;

For example, an organization may have a Business Department. Every course within this department such as "Finance 101" and "Negotiations 102" will be created by a Department Admin, and then assigned a Course Admin to manage that class.

## Organization Admins

These users are responsible for creating different departments. There will typically be a single organizational admin associated with the client code that cannot be deleted. Other organization admins can be created, though they will take up additional seats.


# Authoring Tool

The Authoring Tool is an approachable way for anyone to prompt an AI Avatar to behave in a certain manner during a roleplay simulation. The Authoring Tool is made so that creators can enter a description of the AI Avatar's role along with background details that affect how the avatar responds during the simulation.

Start off with a specific scenario that you have in mind, for example:

* a difficult conversation
* a sales negotiation
* an introduction to a new process

Then create a new simulation and fill out the information for the roleplay scenario.

## **To create a new AI Simulation:**

1. Log into the [web portal](https://ai.foretellreality.com/) using an [Author](/foretell-ai/welcome-to-foretell-ai/user-roles) account
2. In the top left corner, select the **"Library"** tab from the left sidebar to view a list of simulations your account has access to.

3. To add a new simulation, at the top of the list click the button with a plus icon in the middle

   4. Alternatively, to edit an existing simulation from the Simulation Library, find your simulation in the list and then click on the pencil "Edit" button to the left of the name of the simulation.

5. There are 5 sections to each AI Simulation

* [Scenario](/foretell-ai/authoring-tool/scenario) - The location where the simulation will take place
* [AI Personas](/foretell-ai/authoring-tool/ai-personas) - The information that the AI agent uses to hold the conversation
* [Trainee Personas](/foretell-ai/authoring-tool/trainee-personas) - Information about the role the trainee is performing
* [Assessment Criteria](/foretell-ai/authoring-tool/assessment-criteria) - A rubric for how the trainee's performance will be evaluated immediately after the simulation is ended
* [Guardrails](/foretell-ai/authoring-tool/guardrails) - Toggles to tell the simulation to avoid specific topics or behaviors.

6. When editing the AI Simulation, you will typically start in "Simple Mode" where you can edit the basics of the simulation. However, to add greater detail many features require you to open up "Advanced Mode"
   1. Simple Mode - All sections are on one page with collapsible sections. However, the editing options are more limited.
   2. Advanced Mode - You can change between tabs at the top of the page and you have more control over the finer details of the simulation.

# Scenario

The scenario tab is where the author defines the basic details of a simulation: where it takes place, what information is given to the trainee before they start, and what documents will be referenced during the simulation.

## Environments

Foretell has provided a list of environments where conversations may take place. Each simulation must use at least one Environment, but you can choose multiple environments as options.

When the Learner starts the AIA Simulation, they'll be able to choose the environment from the set of options you select here, with the default environment being the first one in the list. You can reorder the selected environments using the arrows underneath them.

### Allow Interpersonal Simulation

The **"Allow interpersonal simulation"** toggle allows this simulation to be used without AI, instead letting two users use the Foretell Social meeting system to practice roleplaying the scenario together.&#x20;

### Require User Document Upload

The **"Require user document upload when starting a simulation"** toggle makes it so that a Learner has to upload a document to the simulation before they can begin. An example of when this might be used is for job interview training, where a Learner might upload their resume for the AI agent to reference.

Clicking that toggle will add a new section called **"User Upload Required Documents"**. Each required document must have a Title, and you can add an optional description for the document. You can add a new required document by clicking on the **"+ Add Required Document"** button, and you can delete a required document by clicking on the button to the left of the document that looks like a trash can. You can also adjust the order of the documents using the up and down arrows to the right of the document titles.

From the perspective of the Learner, when they try to start the simulation a window will pop up asking them to upload documents. After they click the **"Upload Documents"** button and select the document, a summary of their document will appear under the **"Created and/or Uploaded Documents"** section which they can review and edit if they wish. Once they are ready, they can click on the **"Continue"** button in the bottom right corner of the window to begin the simulation.

### Upload Image

If you wish to upload an image to use as the thumbnail for your AI simulation when it is used for Assignments you can click on the **"Browse"** button under the "Upload Image" section. This will open your File Explorer where you can find and select an image file.

When a Learner sees this simulation for one of their assignments this image will show up when they select the assignment.

## Details

The Scenario Details are the primary way for the Author to provide Learners with the context needed for the conversation, such as why the conversation is happening, what events or information may be referenced, as well as what the Learner's goals may be.

To create a Scenario Detail, click on the black button labeled **"+ Add Scenario Detail"**. This will create a new Scenario Detail slot with a box for defining the name of the detail and a box for the contents of the detail.

You can edit the name and contents boxes by clicking on them, editing them, and then either pressing the "Enter" key or clicking on the **"Save"** button. To delete a Scenario Detail click on the red minus button at the far right of the Scenario Detail.

When anybody runs this simulation, the Scenario Details will be the first thing they see.

## Supporting Documents

Supporting Documents are a way to provide reference files for the AI agent to use during conversation. In addition to the AI persona details we type in, we can provide documents such as a pdf of the company's employee handbook, a resume, or a witness statement.

There are two places to submit Supporting Documents. Supporting Documents uploaded to the Scenario tab will be used for all AI Personas, while Supporting Documents uploaded to the AI Persona tab will only be used when that AI Persona is used.

To upload a document, click on the button labeled **"Upload Supporting Document(s)"**. This will open a File Explorer window where you can search for and select the file you wish to upload. These files must be text based. After uploading, the contents of the document will be added to a new slot in the **"Created and/or Uploaded Supporting Documents"** section. You can edit the name and contents of the upload after the fact by clicking on the text boxes, making your changes, then clicking the **"Save"** button at the bottom of the page.

There is a limit of 16383 characters for each document. If you want, you can divide larger documents into multiple Supporting Documents. There are 5 total document slots available for each scenario.

If you do not have a file to upload and wish to simply type in a supporting document, you can use the **"+ Add Supporting Document"** button.


# Interpersonal Simulation

The purpose of interpersonal simulations is to allow for roleplay training between two real people. The same information is provided to both users, a live chat transcript is generated, and at the end of the conversation both users have the option to upload the recording and transcript.

Setting up an interpersonal simulation requires access to the Foretell Social admin panel, and will only work in the Desktop or Virtual Reality application. You cannot use the interpersonal simulation between two people using the web browser. This will only work if your client code has the Foretell Social license as well as the Foretell AI license.

When authoring a simulation you can enable it to allow human-to-human meetings by enabling the toggle in the Scenario tab labelled **"Allow interpersonal simulation (Desktop & VR only)"**

Once this toggle is enabled and you have saved the simulation, it is time to go to the Foretell Social admin webpage to create a new meeting that uses that simulation.

Go to [this link](https://admin.foretellreality.com/) and log in using the same credentials that you would use to log in to the AI authoring tool website. Only Department Admins and Organization Admins will be able to create meetings.

After signing in, use the left sidebare to open up the **"Meetings"** section and then click the **"Meetings"** tab underneath it.

At the top of the page click on the **"+ Add Meeting"** button

This will open up a new window on the right side of the screen. First, give the meeting a name in the **"Meeting Name"** text box. Next, either set the Meeting Access to **"Public"** or keep it private and add specific users you want to have access to this meeting. Since the meeting can only hold two people, it is often best to keep the meeting private in case some stranger accidentally joins.

Next, to set up the meeting as an Interpersonal AI meeting, at the bottom of the window find the **"Manage Experiences"** section. Click on the **"+ Add Experience"** button, then select the **"AI Human to Human (Capacity: 2) \[AI]"** experience and click the **"+ Add Experience"** button in the bottom right.&#x20;

This will create a new experience slot with an input field where you can choose which AI simulation you want to be loaded in. Click on the box that says **"Select an AI Experience"** and you will see a list of all of the simulations that allow interpersonal simulation. Find the simulation you are looking for and select it.

Once you have finished editing the meeting, click on the **"Add Meeting"** button in the bottom right corner.

Now that the meeting is created, let's test it out to make sure it exists. We can do this either in the VR app or in the Desktop app. Open the app and log in with the credentials of a user that has access to this meeting.

After logging in, you will need to give yourself a name and choose an avatar.&#x20;

Your name is set in a text box at the top of the left column displaying the avatar. On desktop you can type on your keyboard, while in VR a keyboard will pop up when you select the text input box.&#x20;

To choose an avatar preset, select on the button near the bottom of the left column labeled **"Choose Preset"** and in the window that pops up choose an avatar you like, then select the **"Save"** button.

In the main window you should be able to find the meeting name you gave your meeting. Select the meeting box, then in the pop-up window select the **"Join"** button. This will load you into the environment.

The first person to joing the meeting will be placed in the position that the trainee typically occupies, while the second person will be seated where the AI agent usually sits.

You can start and stop the conversation tools such as the captioning and video recording in the same way as you would for AI agents, using the AIA Controls button in the menu that looks like a robot.

After stopping the conversation, you can upload the transcript and video to our servers in much the same way as you would with an AI agent.


# AI Personas

The AI Personas tab is where you create the characters the trainee will talk to.

You can create multiple personas that represent different kinds of people one might encounter in this scenario, though most simulations usually stick to just one persona.

To create a new persona, near the top of the AI Personas tab click on the plus button next to the existing personas. This will automatically generate a random avatar, name, role, and age for you to edit. You can duplicate existing avatars using the duplicate button that loocks like a square on top of another square in the bottom right corner of the avatar icon, and delete personas using the button that looks like a trash can in the bottom right corner of the avatar icon.

Our online tool for creating a new AI persona is split into two sections:

## Basic information and prompt text input

* Define the Name, Role, and Age of the AI agent
* Select the appearance of the AI agent
* Choose a voice for the AI agent
* Provide starting instructions for the conversation
* (Optional) Provide a block of text to prompt the AI agent in the “Instructions” box instead of using our advanced settings

* In addition, you can provide the publicly available knowledge regarding this Persona

## Advanced Settings

The advanced settings allow you to provide context boxes and conditions for the conversation.

To enable Advanced Settings, click on the toggle labeled **"View Advanced Settings"** below the list of AI Personas

### Additional Details

Additional Details are input fields that let you categorize background information into sections such as “Persona Objectives”, “Background and Context”, or “Common Responses”.

To edit the name or contents of an Additional Detail slot, simply click on the name or contents box and you'll be able to edit the text. Once you are done editing, click on the green **"Save"** button that might otherwise just display a checkmark.

To add a new slot click onk the **"+ Add Additional Detail"** button near the top of the list and a new slot will appear at the bottom of the list of details.

### Conditions

Conditions are a way to program responses for when specific topics occur. These can be used to unlock new sections of the conversation, to trigger emotional responses, or to give the AI agent responses for common questions.

To create a new condition, scroll down to the Conditions section. Each condition is split into two text boxes, an **"If"** and **"Then"** box. Type in the condition in the **"If"** box and the response in the **"Then"** box, then make sure to click on the plus sign to the right of the condition to ensure it is added. You can delete conditions by clicking on the minus button to the right of the condition.

### Supporting Documents

We have identified three stages in AI Persona creation:

3. [Testing](/foretell-ai/authoring-tool/ai-personas/testing) - Ensuring the AI agent responds appropriately during the simulation


# Character Identity

The first step in creating a simulation is defining who your character is:

## Name and Role

* Give a name, age, and a role
* Select an appearance for the AI agent

## Voice

* Voice Engine - There are two voice engines implemented in our platform:
  * OpenAI - Less voice options, but greater emotional range
    * OpenAI has 7 newer voices that do a better job at emotions:\
      Ash, Ballad, Coral, Sage, Verse, Marin, and Cedar
    * OpenAI is more flexible when speaking in different languages.
  * Eleven Labs - Lots of voice options for different accents and characters, but somewhat less flexible emotional range
    * Eleven Labs' voices maintain a strong accent when speaking a different language, so it’s best to use them for the originally intended language only

* Language and Accent - Choose the language and accent of the AI agent

* Tone - this allows you to define the general emotional tone of the AI’s voice.
  * You can create custom tones if the dropdown doesn’t list an option you like, though try to keep it to one or two words if possible

* Open AI Advanced Voice Settings - More control over voice detection, speed, and interruption settings when using the Open AI voice model
  * Voice Speed - Control how quickly the AI persona speaks, useful for slowing things down for users who are unfamiliar with the language
  * Turn Detection - How the AI decides when you have finished talking.
    * Volume-Based - AI will start talking when it detects a certain amount of silence
    * Semantic (AI-Based) - AI will start talking when it decides you have finished your thought.
  * Voice Activation Threshold - How loud the speaker must be for the AI to be interrupted.
  * Pre-Speech Padding - Usually not changed, affects how much data is sent from before speech was detected by the AI system
  * Silence Duration - How long the AI Persona will wait during silence before responding
  * Transcription Model - The AI model used to create the text transcription of the conversation
  * Noise Reduction - The algorithm used on the Open AI end to reduce noise
    * Noise reduction has a tendency to cause misunderstandings of users with poor microphones

## Opening Line

While there is the option of allowing the trainee to start the conversation, we recommend giving the AI agent something to say to mark the beginning of the conversation

* Open AI - There are “Start Instructions” where you can type directions on how to start the conversation
  * We recommend creating a special context section called “Opening Line” in the Advanced Options section and giving the instruction “Say the opening line \[with desired emotion]”

* Eleven Labs - The “First Message” box is where you type the first thing that the AI agent will say, as long as you enable the "AI Persona Starts Conversation" toggle

## Background and Context

This "Additional Detail" is typically automatically added in Advanced Settings when creating a new simulation.

* Provide the immediate context of the conversation
* Why is the conversation occurring? Why is the AI Agent here?
* What is the AI agent feeling going into the conversation?

## Personal and Professional Background

These two "Additional Details" are typically automatically added in Advanced Settings when creating a new simulation.

* What does this character do, either in personal life, or professionally, that would impact how they behave in this conversation?
* Avoid giving your agent multiple identities such as “you are a teacher pretending to be an interviewer for your student”
* Avoid references to the AI simulation
* Try to keep your instructions to one sentence at a time, almost like a bullet point list. Longer paragraphs are more difficult for the AI agent to understand

## Goals and Objectives

The "Persona's Objectives" is an "Additional Detail" that is typically automatically added in Advanced Settings when creating a new simulation.

* What is the AI agent trying to achieve in this conversation?
* How does the AI agent know when it has succeeded in its goals?

## Be Specific and Concise

The AI agent can fill out the conversation once it knows a list of true things about itself.&#x20;

* The author's role is to provide enough specific details for it to work with so that it doesn't have to invent a personality from scratch
* These details should be short, to avoid confusing the AI agent
* Make sure that your instructions focus on what you want to happen, rather on what you don’t want to happen, as the AI agent can sometimes get confused
  * “Don’t talk about a pink elephant” might actually cause the AI to mention elephants more than normal, instead use more proactive instructions and conditions like “if animals are mentioned bring the focus back onto the primary topic of conversation”


# Speaking Style

After providing the AI agent with the necessary information to hold a conversation with the trainee, you may want to further influence the way it speaks by giving it emotions, vocal tics, or specific responses to certain conditions.&#x20;

We typically use two context sections for this: a “Common Responses” box, and a “Speaking Style” box.

## Common Responses

The most direct way to influence what the AI agent says is to provide a list of suggestions for things it should say.

* Providing examples of responses also gives the AI agent something to fall back on for situations where the AI agent doesn’t understand what the trainee said
* We have experienced issues where the AI agent will switch roles in the conversation if the trainee says something unintelligible, but adding default responses helps to prevent this from happening

## Vocal Tics

To create vocal tics such as stuttering, or incorrect emphasis, such as a student who is struggling to read aloud or someone for whom this isn’t their first language, you should provide written examples of what that speech looks like.

* Enforce mispronunciation of words through purposeful misspellings
* For example, a struggling reader might sound like this:

* To encourage emphasis on certain words, you can use ALL CAPS

* Pauses and hesitation
  * In the “Speaking Style” box, you can ask the AI Agent to insert pauses into their sentences, i.e.
    * “John hesitates and pauses after every word”
  * When providing sample responses, you can use ellipses "..." for pauses

* You can simulate a stutter by putting dashes between letters in a word.
  * We recommend avoiding adding the word "stutter" into the instructions as this can cause audio playback issues in certain voice engines

* When describing technical terms or acronyms, it might help to spell things out phonetically to make sure the voice engine says it correctly.
  * Explain what acronyms stand for and provide descriptions of technical jargon so the AI understands how to use those words properly
* Try writing numbers as words, i.e. (“$50” becomes “fifty dollars”)
  * Format phone numbers with pauses: "555... 123... 4567"
* There is no default way to let the AI system know something is an instruction that shouldn’t be read aloud, so avoid instructions like \[crying], \*yelling\*, or (shouting) in your Common Responses box
  * Instead, use a “Speaking Style” context box that describes emotional responses associated with a specific topic of conversation

## Sentence Structure

AI has a tendency to create long responses, but we can tell it to limit its responses to a specific format in a “Speaking Style” box, such as:

* “Alice keeps her requests to a maximum of three sentences.”
* “Ben’s sentences are short, between 2-5 words”

## Mannerisms

You can control how formal or casual the sentences are in a "Speaking Style" box

* “John uses a lot of surfer slang such as ‘dude’, ‘gnarly’, and ‘wicked’”
* “Maximillion uses highly formal language, preferring to use longer, fancier words”
* “Jennifer tends to start sentences with 'So, like…' and other filler phrases"

Include natural speech elements in the “Common Responses” box

* Brief acknowledgments: "I see," "Got it," "Right"
* Filler words: "Actually," "Well," "So"
* Conversational transitions: "Now then," "Here's the thing"

## Emotions

* Setting the starting emotion can go a long way in ensuring that the AI agent stays in character, in particular the “Tone” dropdown and the “Opening Line” you give
* You can associate specific topics of conversation with specific emotions to allow for a more flexible approach to the AI agent’s emotions changing throughout the conversation
* An example of the “Speaking Style” box you might write for someone slowly getting more upset during a conversation where they ask for a better grade:

* You can add instructions like “Alice sobs twice per sentence” if you want to control how often certain non-verbal actions occur
* There is a known issue where OpenAI has a tendency to input its own instructions for emotions such as \[sobbing] or \[voice shaking] and then reading them aloud
  * Unfortunately this is out of our control
  * For whatever reason, these instructions are less likely to be read aloud when in the middle of a sentence, so you can try to skew the emotional responses to encourage interjections in the middle of the sentence instead of at the beginning, but this will not always work

## Conditions

While AI agents are good at making a conversation that sounds about right, when a topic of conversation comes up that wasn’t included in the starting instructions the responses tend to feel more generic and lacking in detail.

* If there are specific topics that you expect to come up in your conversation, it is a good idea to give the AI agent a preplanned response that it can work with
  * For example, if your instructions say that the AI agent is “struggling with a problem in class”, it will take a lot of pushing before the AI agent provides generic details about a generic problem it has invented
    * To solve this, you can provide specific details about the problem they are having, and the AI agent can then take that starting point and branch out from there
* Conditions allow you to provide detail that will appear when the trainee says the appropriate things
* Conditions are also a great way to associate certain topics of conversation with specific emotions
* Conditions allow you to prepare the trainee to handle common lines of conversation that you as the simulation author may be aware of
* Conditions can help keep the focus by redirecting the conversation back to the topic at hand when something outside of the scope is mentioned
* You can set up conditions that trigger the AI agent to escalate the conversation, such as a patient reacting angrily to getting bad news about their health

# Testing

Now that you have an AI agent set up, it is time to test out the agent to make sure that it actually behaves the way you intended.

## Iteration

* Ideally, you would start testing your AI agent as soon as you have a simple and short prompt so that you can learn what topics of conversation are likely to come up
* Make sure to test different approaches your trainees might take to see how the AI agent responds
  * Be aggressive, yell and shout
  * Act nervous, trip over words
  * Ask the agent what it thinks should happen
  * Purposefully answer incorrectly or say the wrong thing for your situation
  * Act like a complete novice who has no idea what they’re doing
* You will likely create a list of conditions that happen in the conversation that you’ll want to address as part of the prompt
* As you continue testing, you may come up with a list of questions to ask the AI agent to make sure it is still responding correctly

## Consistency

* Make sure that the AI agent stays in the correct role through the whole simulation
* Make sure that your instructions focus on what you want to happen, rather on what you don’t want to happen, as the AI agent can sometimes get confused
  * “Don’t talk about a pink elephant” might actually cause the AI to mention elephants more than normal, instead use more proactive instructions like “if animals are mentioned bring the focus back onto the primary topic of conversation”
* Does the AI agent try to steer the conversation back towards its defined goals no matter how the trainee responds?
* Can you get the AI to say inappropriate or incorrect things?
* When asked for information present in the prompt, does the agent provide the information accurately?

## Humanity

* Does the agent speak how you want them to speak?
  * As you test out the conversation, you may find specific mannerisms are overrepresented, or you may want to offer more ways to say the same thing in the “Common Responses” box.
* Does the AI agent pronounce things correctly?
  * You can fix this by using phonetic spelling for words
* Does the AI agent exhibit the desired emotions?
  * Add conditions to trigger emotions when specific conversational topics appear


# Trainee Personas

The Trainee Persona tab is primarily used to give information to the trainee.&#x20;

The information about the Trainee Persona has no influence on the behavior of the AI agent.

Typically most overview information would go into the Details of the [Scenario](broken://pages/LCkrs5VAip5GPwefmsP3) tab. However, if you want to give the trainee more information about what their role is, or a ideas for a character that they can play, you can provide that in the Trainee Personas tab.

You can also use this section to provide tips, reminders, and advice to the trainee.

If you run out of space in the box labeled "Publicly available knowledge regarding this Persona" you can toggle on "View Advanced Settings" and provide more information there.


# Assessment Criteria

The Assessment Criteria tab is where you define the criteria by which the transcript of the conversation will be analyzed to provide feedback to the trainee immediately after the conversation is ended. The primary benefit of the assessment is that it pops up right after the simulation is finished, reminding them of how the conversation went and giving suggestions for how to proceed on a follow-up attempt of the simulation.

It is still a good idea for an expert or instructor to review the conversation recording later to provide more in depth analysis and advice that the AI doesn't have the personal experience to recognize.

For users creating simulations through the Guided Setup we have included a template rubric. You can delete our criteria using the red **" - "** button at the right side of each criteria slot.

To add a new criteria slot, scroll to the bottom of the criteria list, and below the last criteria you will find a "New Criteria" with an empty description box.

You can reorder the assessment criteria using the arrows to the left of each criteria.

At the top of the page there is an "**AI Evaluation Complexity Meter".** This is the limitation on how many criteria you can add to your assessment. Two things add to this complexity meter: the number of criteria you have listed, and the amount of options the AI can choose from within each criteria.

Right below the **"AI Evaluation Complexity Meter"** there is a dropdown labeled **"Default Scale for New Criteria".** You can use this dropdown to change the default options provided when adding a new Assessment Criteria to the list.

# Guardrails

The Guardrails tab allows you to enable content restrictions on the behavior of the AI persona. Common restrictions preventing references to sexual content or illegal activities can be toggled on and off.

In addition, you can create up to 10 "Custom Rules" using the "+ Add Rule" button at the bottom of the page.

# Sharing and Distributing Simulations

Author accounts cannot directly share their simulations with departments or courses. Typically an Author will share their simulation with a Course Admin, Department Admin, or Organization Admin who will then share it with their respective course, department, or organization.

## Sharing as an Author

To share a simulation you just created as an Author, first find the simulation in your Simulation Library.

Next, find the simulation you created that you wish to share and click on the **"Share Simulation"** button that looks like three dots connected by lines.

This will open up a new sharing window. As an author account, you will only be able to share the experience with other Users. So for example if you wanted to share your simulation with everyone in a course, the best account to share your simulation with would be that course's Course Admin user.

To add a user, use the **"Select Audience"** text input box and search for the username of the admin user you want to distribute your simulation, then click on the option that appears in the dropdown below

Clicking on a user in the dropdown will add them to a list of users below this box.

If you wish to set an expiration on when this simulation will stop being shared, you can use the Settings box below the user search field and click on the Calendar icon to select a date when the sharing will expire. Typically this will be used by Course Admins for their students, instead of by Authors.

Once you are done adding the distributing users, click on the **"Save & Close"** green button in the bottom right corner of the sharing window.

## Distributing as an Admin

Organization, Department, and Course Admins are responsible for distributing simulations to their organizations, departments, and courses.

There are two primary ways that Learners will experience simulations: practicing simulations in their Library, and submitting simulation recordings as part of an assignment.

The process for sharing simulations for Learners to find in their library starts by finding the simulation in your own Library and clicking on the **"Share Simulation"** button that looks like three dots connected by lines.

In the sharing window, you can use the dropdown under the **"Select Audience"** section to change the search bar from showing you Users to showing you Courses or Departments. In the below gif a Course Admin chooses to reshare this simulation with their course "Data Structure in Practice"

When a Course Admin reshares a simulation, they have the option of using different settings for their fellow Course Admins than for their Learners.

For example, if the Course Admin wanted to set an end date for the Learner's access to the simulation in the library, then they could find the **"Group-Only Settings"**, click on the **"Learners"** checkbox, and get access to a new **"Expires On"** calendar slot. Click on the button that looks like a calendar, then use the pop-up calendar to select a day when the access will expire.

To add all currently listed users, courses, and departments, click on the black **"Share with"** button. This will allow you to add the Course Admins without an expiration date if you wish.

If you wish to remove the expiration date, you can open the calendar and click on the **"Clear"** button.

You will find that at the bottom of the window there is a scrollable list of all the people and groups that have access. If you have already pressed the **"Share"** button for all the added groups and users, then the bottom right corner will show a grey **"Close"** button you can click to exit the sharing window.

If there are still groups that have been added to the sharing list but haven't actually completed the sharing process, then you can click on the green **"Save & Close"** button to finish sharing and close the window at the same time.

# Trying AIA Simulations

Foretell AI works in a Virtual Reality application, in a desktop application, and in a web browser.

In all of these platforms, there are two primary modes of experiencing AIA simulations.

* AIA Simulation from the Library&#x20;
  * These are simulations that have either been shared with a group you are in such as a department or course, or simulations that have been shared with your account specifically that are not tied to a specific course or assignment
    * You can practice these simulations as often as you want
* AIA Simulation from Course Assignment
  * These are simulations that have been assigned to you as part of a course assignment
    * Typically you will have a limited amount of attempts for these simulations, after which you will submit the transcript and recording of one attempt to be reviewed by the Course Admin

# AIA Simulation in VR App

To download the VR app onto your Meta Quest headset, follow the instructions here:&#x20;

Once you have downloaded the application onto your headset and opened it, the next step is to log in using your login credentials. You can click on input fields and keyboard characters by pointing your controller ray at it and pressing down the Trigger button with your index finger. Once you have typed in a Client Code, Username, and Password, click on the **"Log in"** button.

Logging in will open a new page that displays the available AI simulations. If at the top of your window there is both a "Meetings" tab and an "AI Simulations" tab, select the **"AI Simulations"** tab to see the available AI simulations.

The first row is the **"Simulation Library"** that shows you any simulations you can practice at will as many times as you want.

The second row shows you your **"Assigned Simulations"** that are tied to an assignment given to you in one of your courses

To select an AI simulation, point your controller at one of the listed simulations and press the trigger button to select it. In the window that pops up click on the **"Join"** button to load the simulation environment.

Once you have loaded into an environment, all of the information about the simulation and controls for the simulation are accessible from the menu. To open the menu, find the concave Menu button on your left controller and press it. This will open up a menu bar of options. For more information about the current simulation, click on the **"AIA Controls"** button on the far left that looks like a robot.

You can review the information about the scenario by clicking through the **"About", "You", and "Counterpart"** tabs. The Environment simply shows you locations for the conversation.

You also have access to the chat transcript, which you can enable and disable using the button that looks like two chat bubbles overlaid on top of one another.

Once you have completed your conversation, you can click on the **"Stop"** button that looks like a square. This will finish the conversation. If this was an Assignment Simulation, this will use up one of your attempts.

For Assignment Simulations, the transcript and video will be automatically uploaded to our servers for your Course Admin to review. If you are in a practice session, a pop-up window will appear asking for permission to upload the transcript and video.&#x20;

# AIA Simulation in Desktop App

Click the link to "Download Foretell Reality to your Desktop", this will begin downloading a Launcher app. Once the Launcher application is downloaded, find it in your Downloads folder and double click on it.

The first time you run this Launcher it will download the latest version of Foretell Reality Group. Going forward, new versions of Foretell will automatically get downloaded by this launcher.

Once you have downloaded the application and opened it, the next step is to log in using your login credentials. Once you have typed in a Client Code, Username, and Password, click on the **"Log in"** button. If you select the **"Remember Me"** checkbox, the next time you open the application the information will already be filled in.

# AIA Simulation on Web

[AIA Simulation from Course Assignment](/foretell-ai/trying-aia-simulations/aia-simulation-on-web/web-simulation-from-course-assignment) - These are simulations that have been assigned to you as part of a course assignment.


# Web Simulation From Library

This guide provides a detailed walkthrough for interacting with an AI simulation using the web portal for AI simulations made available to you in your Simulation Library.

**1. Log In**

Log in at [this link](https://ai.foretellreality.com/).

**2. Go to the Simulation Library**

In the top left corner find the **"Library"** tab

**3. Select a Simulation**

Click on a Play triangle to the left of one of the Simulations available to you.

**4. Test Microphone**

In the new page, on the right side of the screen there will be a window with an image of the character.

Make sure your microphone is connected by clicking the **"Test Microphone"** button at the bottom right corner of the screen. This will open up a window where you can make sure your microphone is picking up audio.

To start testing audio levels, click on the"Start Recording" button

While the test is happening, wath the **"Audio Level"** bar at the bottom of the window to see if the sound is being picked up. Once you see the bar moving, you can click the red **"Stop Recording"** button.

To play back what you just recorded to make sure the audio sounds fine, click on the **"Play Test"** button, then click on the **"Stop Test"** button to stop the playback.

You can adjust the volume of the microphone with the **"Microphone Gain"** slider, and raise the threshold of background noise volume that will be ignored with the **"Silence Threshold"** slider. If you make changes, make sure to click on the **"Save Settings"** button before closing.

**5. Play the Simulation**

Before you play the simulation, choose if you will want to see the closed captioning overlaid on top of the AI agent using the toggle button that looks like a speech bubble to the left of the "Simple Mode" button

To start the simulation, click on the **"Start Simulation"** button.

If this simulation requires a document upload, such as uploading a resume for the AI Avatar to reference in a fake job interview, a window will pop up after clicking on **"Start Simulation".** When this window pops up, click on the **"Upload Documents"** button and use the File Explorer to upload a text-based document. After uploading a document you can edit the contents, and once you are done editing you can click the **"Continue"** button.

**6. During the Simulation**

You can expand the window with the AI agent using the full screen button in the top right corner of the AI agent window.

The simulation can be paused using the **"Pause"** button below the AI agent for a temporary break. To resume the conversation simply press the **"Resume"** button that replaces the **"Pause"** button.

If you don't want to see the AI agent and only care about the audio of the conversation, you can enable **"Simple Mode".** This might help if your browser is lagging.

**7. Ending the Simulation**

To end the simulation, click on the **"Stop Simulation"** button in the bottom right corner of the screen.

This will bring up a pop-up window asking if you'd like to upload the simulation data. Uploading  your data will save a video recording and written transcript of your conversation to our servers, allowing a Class Admin to review it later.

If you click "Yes, Upload Data" a window will pop up giving you the progress of the upload of the audio and video recordings of your conversation.

Whether or not you upload data to our servers a window will appear with a video of your conversation that you can review. The transcript bubbles will highlight what is being said as the video plays.

If you wish to get feedback on your simulation based on analysis of the transcript using a rubric that the simulation Author created, in the top right corner of this pop-up window click on **"Request AI Review"**

This will generate a spreadsheet that displays the assessment criteria and how the AI rates your performance based on the transcript of the conversation, with Rationale given for its assessment in the **"Rationale"** column.

Once you are done reviewing the AI Assessment, you can click on the **"Close"** button in the bottom right corner of the pop-up window to take you back to the transcript and video. From here you can click the **"Close"** button again to exit this window. Now you can try the simulation again!

# Web Simulation from Course Assignment

To complete a simulation as part of a Course Assignment, the first step will be to log into your Learner account at [this link](https://ai.foretellreality.com/).

Use the left sidebar to select the **"Courses"** tab.

In the list of courses you have access to, click the **"View"** button on the course that owns your assignment. There will often be a blue label telling you how many assignments are available to submit in that course.

In the list of assignments find the assignment you wish to complete, then at the far right of the assignment click on the button that looks like a folder to open the assignment.

This will bring you to the Assignment page. Near the bottom right is a text box that tells you how many attempts you have remaining. Click on the **"Start Assignment"** button at the bottom.

You can review basic details about the simulation environment, AI persona, and Trainee Role in the tabs. Once you are done, click on the green button labeled **"Start Assignment".**

Before you can start the assignment, the webpage will ask that you check if your microphone is working properly. Click on the purple **"Start Recording"** button to begin recording. A pop-up may appear asking for permission to use your microphone. Make sure to select the correct microphone and click "Allow" in the pop-up window. Briefly say something then click **"Stop Recording"**, and then click on the **"Play Test"**.

Once you are finished testing your microphone, click on the **"Proceed"** button in the bottom right corner of the window.

Wait for the avatar to load, then click on the **"Start Simulation"** button at the bottom of the screen

Go through the simulation, and then once you are done click on the "Stop Simulation" button. This will automatically upload your files and then open up a window where you can review your submission.

You can add a message alongside your submission if you wish to give your teacher extra context about your performance. Click the **"Edit Message"** button.

After typing in your message into the **"Submission Message"** box, click on the **"Save Changes"** button.

To review a transcript and play back a recording of the AI conversation, click on the **"Transcript"** tab at the top of the window

After closing the window, you'll see that the assignment page has added your submission attempt alongside whatever message you wrote. This submission will tell you whether it has been reviewed by the Course Admin yet in the top right, and if you wish to review the transcript and video again you can click on the **"Review Submission"** button.

If the assignment allows multiple submissions, then you can click on the **"Retry Assignment"** button underneath the **"Review Submission"** button to try again. However, be advised that this will delete your old submission. You only get one submission that can be reviewed per assignment.

# Reviewing Simulation Sessions

This guide provides step-by-step instructions for accessing and reviewing assessment results from Foretell AI simulations. This will typically be done by Course Admins, though any User can do this

**1. Log In**

Log in at [this link](https://ai.foretellreality.com/)

**2. View Sessions**

Use the left sidebar to select the **"Sessions"** tab.

To see a list of the most recent sessions, click on the **"Sessions List"** tab. This will show you a list of all sessions completed that you can review, including both practice sessions from the simulation library and assignment sessions from any courses your account manages. One "session" may have multiple practice sessions associated with it, if they were done within a short period of time.

To look at the details of a specific session, click on the row representing it. In the below example, we clicked on a session that was a practice session, so the **"Practice Sessions"** tab opened. You can click on the row of one of the practice simulations to open up the **"Analysis"** tab that shows you a transcript and recorded video of the conversation.

## Course Admins Reviewing Assignments

If you are a Course Admin looking for your student's assignment submissions, click on the **"Assignment Sessions"** tab. This will give you a list of assignment submissions made by Learners in Courses you manage.

To view the details of the conversation, click on the "View Analysis" button that looks like a chart.

This will open up the **"Analysis"** tab with the transcript and recording of the submitted assignment.&#x20;

After reviewing the transcript you can go back to the **"Assignment Session"** to find the assignment submission and instead click on the "Review Submission" button that looks like an eyeball.

From this page you can click on the **"Mark as Reviewed"** button to signal to the Learner that you have seen their submission.

# Organization Management

The organization structure of Foretell AI allows an [Organization Admin](/foretell-ai/welcome-to-foretell-ai/user-roles) to define multiple Departments which each contain their own Courses.

This page will introduce you to the process of setting up your organization for the first time. It assumes that you have an Organization Admin account.

First, log into your Org Admin account from [this link](https://ai.foretellreality.com/).

The first step will be to create a Department for your organization. In the left sidebar click on the **"Departments"** tab.

Once you have added departments to your organization, this will display a list of them. To add a new Department find the wide button with a plus icon and click on it. This will open up a new section called **"Create New Department".** Fill in the **"Department Name"** text box, then click on the **"Confirm"** button in the bottom right corner.

Now that the Department has been created, it is time to assign a Department Admin account to manage it.

In the left sidebar, click on the **"Manage Users"** tab.

In the Manage Users tab, at the top of the page open the section labeled **"Create Users for \[Organization Name]"**. In the newly opened section there are a list of user types that you can choose to create. Click on **"Department Admin"** before moving on to the next section now labeled **"Manage Department Admins"**.

For each user you wish to add, fill in an email, username, password, first and last name. You can add additional slots using the wide button with a plus on it. Once you have finished inputting all the information for all the department admins you wish to add, click on the **"Accept"** button in the bottom right corner of this section to send out the invitiations.

Now is a good time to add any other user accounts you wish to create. You can easily create Course Admins by switching the User Type from "Department Admin" to "Course Admin".

Now that you have a Department Admin account created, it is time to give control over the Department to that account. While staying in the **"Manage Users"** sidebar, scroll down to find the Department that you just created and click on the blue buttom labeled **"Manage Department Users".**

In this new page you can manage the users in the department. By default, near the top of the page there is a button labeled **"Add Department Admins"** that has already been selected. In the **"Add existing department admins"** section, use the search bar to look for the Department Admin level account you wish to manage this department, then select it from the dropdown menu. Once you have added all the department admins, click on the green **"Confirm"** button.

# Department Management

The role of the [Department Admin](/foretell-ai/welcome-to-foretell-ai/user-roles) is to create courses and assign Course Administrators to manage those courses.

Once you have been assigned as a department admin, it is time to create Courses and assign Course Admins.

First, sign in to your account at [this link](https://ai.foretellreality.com/).

Use the left sidebar to select the **"Departments"** tab. You should see a list of departments that you manage. To add courses to your department, click on the button to the left of the department in the list that looks like a graduation cap.

This will take you to the **"Courses"** tab. If you have been made department admin of multiple departments, you can switch between them using the options at the top of the page. To create a new course in a department, click on the square with a plus sign in it to open the **"Create New Course"** page.

Each course comes with a title and a code which will appear below the course title. After typing in a **"Course Title"** a course code will automatically generate, but you can change it to something like "PAR-101" if you want it to match a course code associated with a real world class.

You can choose a Start Date and End Date for the course to help you keep track of which courses are from past classes and which ones are current.

Once you are done filling out the information, click on the **"Confirm"** button in the bottom right corner.

Now that a course has been created, it is time to assign the Course Admin that will manage it.

Use the left sidebar to select the **"Manage Users"** tab.

Click on the arrow next to the department that contains the course you just created. Find the Course you wish to assign to a Course Admin and click on the **"Manage Course Users"** button.

In this new page you can manage the users in the course. By default, near the top of the page there is a button labeled **"Add Course Admins"** that has already been selected. Once you have added all the course admins, click on the green **"Confirm"** button.

## Editing The Course

As a Course Admin, you have the ability to edit the course, including the start and end dates and any announcements you wish to broadcast to all Learners in your course.

**3. Select the course where you'll add the assignment**

Find the course you wish to manage from the list, then click on the **"Manage"** button. To help your search you can filter out the courses by which department they belong to using the tabs near the top of the page.

**4. Under the Course name, select the "Course Details" tab**

From here, you can edit the Course Start and End Date as well as the Users added to the course as detailed below.

**5. Manage Users**

To manage the Learners that have access to the Course, click on the **"Manage Users"** button in the top right corner.

This will take you over to the **"Manage Users"** tab, specifically in the section for your course.

**6. Editing the Course Start and End Date**

Click on the **"Edit Course"** button in the top right corner of the Course Details tab.

To edit the Start and End date of the course, click on the **"Start Date"** and **"End Date"** boxes and use the calendar to select the correct date

**7. Announcements**

You can add Announcement banners that will appear at the top of the assignment list for learners in your class.

To add an announcement, click on the **"Add Announcement"** button. This will create a new announcement slot. The left **"Type"** box is a dropdown that allows you to choose the style of announcement, and the **"Text"** box is the text that will appear in the announcement box.

# Manage Course Users

To manage which users have access to which courses you will use the **"User Management"** tab in the left sidebar

In the list of departments you have access to, find the one that contains your course and select the dropdown arrow to the left of it to see a list of the courses in that department. Then find the course you wish to edit and click on the purple button labeled **"Manage Course Users"**

This page allows you to manage the users that are part of your course.

There are two kinds of users: those with accounts created by the organization that take up seats, and accounts that pay their own subscription for access.

#### **To add Learners that have accounts created by the organization:**

Select the **"Add Learners"** button. If you want to add teaching assistants you can click the **"Add Course Admins"** button but you can only add one type of user at a time.

Scroll down to find the section labeled **"Add existing learners"**. Use the "Search and select users:" text input box to search for learners that are already a part of your organization.

Selecting a user will add them to the list of "Pending Users". Once you are done adding learners, click on one of the green **"Confirm"** boxes.

#### **To invite new Learners by email for self-subscription:**

If a student you wish to add does not yet have an account within your organization, you can invite them to your class in the **"Invite Users"** section. You can provide an email, username, password, first and last name, and that email will receive an invite link.&#x20;

**Note that these users will have to pay for their own seats if the organization has not provided them with a seat.**

Once you are done adding students to this course, you can click on the **"<- Back to Main"** button near the top of the page next to the title of the course if you want to add students to a different course.

# Creating An Assignment

One responsibility of the Course Admin is to provide assignments to students, then review them and provide feedback on their performance in the simulations.

**1. Sign in to a course admin account**

**3. Select the course where you'll add the assignment**

Find the course you wish to add an assignment to from the list, then click on the **"Manage"** button. To help your search you can filter out the courses by which department they belong to using the tabs near the top of the page.

**4. In the Course Management page, select the "Manage Assignments" tab**

**5. Click on the button with a plus sign to add a new assignment**

If there is already a list of assignments, this button will be at the bottom.

**6. Select a Simulation for the new Assignment**

Click on the black **"Select Simulation"** button in the bottom right corner of the new assignment window that appears

Choose one of the available environments by clicking on the environment thumbnail. There's often only one to choose from.

The next page asks you to choose one of the available AI personas. You can learn more about each persona by clicking on the purple **"i"** button under the thumbnail. To select one of the available AI Personas, click on their thumbnail.&#x20;

There may be several AI Personas to choose from if the simulation author has decided to include several different types of people a trainee might encounter, but often there is only one.

Choose the trainee persona using the Trainee Persona dropdown. There's typically only one. After choosing the Trainee persona click on the purple **"Submit Selection"** button and the window will close, showing that your Assignment has selected the Simulation parameters.

If you wish to edit the details of the selected Simulation, you can click on the **"Change Simulation"** button in the Assignment Editing window.

**7. Fill out the Assignment details**

* Provide an assignment name that your students will see
* Select any previous assignments that must be completed first using the "Prerequisite Assignment" dropdown
* Give the amount of attempts your students are allowed to attempt

The toggle labeled "Course-wide" lets all students in the course participate in the assignment when toggled on. When toggled off, a new section appears below you can use to assign to specific users.

Provide a description of the assignment, along with any explicit instructions or expectations you have for your students in the **"Assignment Description"** box.

Provide a start date for when the assignment will become available, and a Due Date by which your students must complete the assignment

**8. Managing Assignments**

In the **"Manage Assignments"** tab of the course you can see a list of all of the assignments associated with your course, including assignments that are past due.

To edit an existing assignment, click on the icon that looks like a pencil on a box to the right of the assignment. To delete the assignment, click on the trash can icon. You can also take a closer look at the assignment and any Learner submissions by clicking on the eyeball icon.

# Viewing Submissions

As a Course Admin, there are two ways for you to review submissions made to assigments in your courses. The first is to look through the Sessions tab, as detailed on the [Reviewing Simulation Sessions](/foretell-ai/trying-aia-simulations/reviewing-simulation-sessions) page.

The second way is to go through the Courses tab, which is what we will detail below.

Once you are logged in, use the left sidebar to select the **"Courses"** tab.

Find the course where the assignment you wish to review is from the list, then click on the **"View"** button. To help your search you can filter out the courses by which department they belong to using the tabs near the top of the page.

This will bring you to a list of all of the assignments for your course. To review the submissions for a specific assignment click on the button that looks like a folder to the right of a listed assignment.

At the bottom of the Assignment page is a list of submissions to the assignment. Click on the username of one of your Learners to see more information about their submission. To review their submission click on the **"Review Submission"** button.

On the student's submission page you'll be able to see the transcript and video recording by selecting the **"Transcript"** tab. Once you have finished reviewing the simulation, switch back to the **"Session Feedback"** tab and click on the **"Mark as Reviewed"** button to let the student know you have seen their submission.

There is no place to submit text feedback to the student, that will typically be done using whatever LMS your organization uses.

After reviewing, you have the option of letting the student use the AI Assessment Criteria to hear feedback about their submission by clicking on the **"Allow AI Review"** button.

From the student perspective this will add a button they can click on in the assignment submission that generates feedback on their submission.

You also have the option of undoing the "Reviewed" checkbox on the assignment by clicking on the yellow **"Set Not Reviewed"** button

# Controller Functionality

**Trigger Button** - select buttons in VR.  For example, selecting keys from the virtual keyboard, interacting with your personal menu, and changing seats when enabled

**Grip Button** - allows you to grab virtual objects with your virtual hands

**Oculus Button** - return to the headset main menu and quick settings menu

**Menu Button** -  open and close your quick menu

**Thumb Stick** - allows you to move forward and backward and rotate left and right

**A Button** and **Y Button** - allows for long distance teleportation

# Quick Menu

Once in a shared VR scene you will navigate the features within Foretell using the Quick Menu.

1. To bring up your Quick Menu, click the Menu button on your left Meta Quest controller.
2. From the the Quick Menu you can change your avatar, mute yourself, adjust your height in the VR scene, and leave the meeting.

The Menu will allow you to experience the full set of features that Foretell Reality has to offer.


# User Roles and Permissions

Foretell Reality has three main user roles and permissions. Each role provides a different tablet permission and visibility setting.

* Leader: This role has the highest permissions and serves as the meeting leader. They can change locations, play media, enable and disable interactive activities, and more.
* Participant: These users are visible with an avatar and are able to speak, but will not have access to media, movement, or activities unless given permission by a Leader.
* Observer: This role will be able to attend meetings but will not be visible or audible.  Observers cannot interact with virtual objects and have recording permissions when used on desktop.

The user roles are differentiated by the permissions they have in their quick menu. To open or close the menu, click the flat Menu button on the left controller.&#x20;

Refer below to see the quick menu permissions accessible to each role.

## Leaders

* Mute themself and/or mute all participants
* Customize their own name and avatar
* Enable seat switching for themselves or everyone in the room
* Play 2D and 360 degree media
* Change virtual environments
* Adjust their own and other participants’ height
* Enable room-wide activities such as painting or an interactive ball
* Change audio settings
* Ban users
* Change accessibility settings
* Note - the button with 3 connected people enables the feature for everyone in the room

* Observers are neither heard or seen in the VR environment.
* Spectator mode - enables a Desktop user to record footage from within the experience as a 2D video.  Screenshots can also be taken during the recording. &#x20;
* Recordings and screenshots are saved in a folder on your Desktop named Foretell Reality Videos. &#x20;

**About Spectator Mode**

There are two recording options in Spectator Mode:

1. Record Screen Mode - offering the ability to take a video from the Point of View of the Observer making the recording. Remember that Observers can also “walk” around the room to record from different angles.
2. Camera Studio Mode - a mode that cycles through cinematic angles and shifts focus to whoever is talking
   * While in Studio Mode you also can change to manual control and make your own shot selections

**Resolution selection** - you may select resolutions from 360p to 1080p.  Higher resolutions might affect app performance, and lower ones will render less clear videos. We recommend starting at the default 1080p, and lowering it if there are any visual stutters during recording or playback. The performance of your computer will be a key factor in determining which resolution is best for you.

**Screen Shots** - while recording, press the ‘P’ key on the desktop keyboard to take a screenshot, which will be saved to the same location as the recordings.


# Locomotion

Foretell Reality has three main types of moving from place to place

1. Room changing - moderators are able switch the room for all participants effetely moving to a new virtual environment

2. Seat switching - in a room with seats, users are able to switch from seat to seat by pointing at an unoccupied seat and selecting it using the trigger button.

3. In Room Locomotion - in rooms that have walking enabled, there are two primary ways of teleporting round:

* Standard Arc Movement - when holding down the 'A' or 'X' button an arc will come from the controller with a set of feet at the end representing where you will teleport when you let go of the button. When the arc is green, the movement is valid, but if the arc is red then releasing the button will do nothing.

* Joystick Dash Movement - with your thumbs on the joystick, nudge the joysticks forward and backward to move forward and backward and nudge the joysticks left and right to rotate left and right

# Room Moderation

The following are room moderation tools that can be accessed from a Leader's personal tablet:

## Mute All

On the top row of the personal tablet, there is the Mute Self icon and Mute All icon.  The Mute All icon mutes all Participants in the room except for other Leaders.

## Recenter All

Getting into VR can be tricky and users don't always set their guardian floor boundary properly.  If users come into the scene and they appear lower or higher in their chair **click the Recenter All button on the top row of the tablet.**

## Seat Switching

Sometimes it's good to get a different perspective around the room.  To enable seat switching for themselves, a Leader can expand the section next to the Recenter button and click the chair icon so they can switch to open seats within the room.&#x20;

If a Leader wants everybody to be able to switch seats, they will press the "Enable For All" button in the top right corner of the seat switching button.

## User Banning

If a specific user needs to be removed from a session or muted a Leader can access moderation controls for that user from the quick menu.

1. Open the quick menu
2. Expand the section next to the "You" button at the far left of the quick menu
3. Select **User Control List**
4. Clicking on the name of the user who needs to be moderated
5. To ban the user, click on the fourth button which will say "Allowed" when hovered over, but will switch to "Banned" if the button is clicked
6. To mute the user, you can click on the second button that looks like a microphone.

## Secret Chat

Once enabled, a user will be able to point at another user and hold down the trigger button to be able to speak to them and them only. This can be enabled for just the Leader, or for everybody in the meeting.

To enable Secret Chat, the Leader will click on the "Expand" arrow to the right of the Mute button. Then they will click on the Secret Chat button to enable secret chat for themselves. If they wish to enable this feature for everyone in the room, they will select the "Enable for All" button in the top right corner of the button.&#x20;

## Megaphone

Some environments are large enough for users to travel out of earshot. The Leader can turn on a megaphone for themselves so that they can be heard at any distance, and can enable it for everyone in the room if they wish.

# Environment Switching

#### Moderators can change the environment around them, bringing all participants to the new space with them. &#x20;

To switch environments:

1. Open the quick menu
2. Click the "Expand" arrow next to the recenter button that looks like a target
3. Select the "Experiences" button that looks like a location marker
4. In the panel that pops up, select the Environment you'd like to switch to
5. When the Environment window pops up, there are several distinctions you are able to make that determine the functionality enabled in the environment
   * Locomotion Mode Options
     * **Seated Mode** - All users are placed into seats in the environment, either in a circle or predefined seats, depending on the environment
     * **Meditation** **Mode** - Typically only available in environments with a large, flat central area, this mode places everybody seated on pillows on the ground with their legs folded
     * **Walking Mode** - Users can freely teleport and move around the environment
   * Amount of seats - how many people can fit into the environment
   * Interactable objects on or off - Some environments come with interactive objects such as guitars or food items. If you wish to avoid distractions, keep the checkbox labeled "Interactives" off. Otherwise, turn the interactives on!

# Media Control

Leaders can present media including PDFs, images, videos, audio files, and 360 images and videos.

To open the Media window to see what media is available in your meeting,

1. Open the quick menu
2. Find the "Activities" button that looks like a game controller and expand it by clicking on the "Expand" arrow to the right of it.
3. Click on the "Media" button to open up the Media window

There are two primary ways of showing media in your meeting.

Spawning a piece of media creates a new object in the world that can be repositioned, scaled up or down, and deleted.

Presenting a piece of media typically puts it onto a dedicated screen in the environment, or in the case of 360 images and videos replaces the environment with the presented content.

Certain environments such as the Convention Stage, Classroom, Outdoor Theater, and several others have a dedicated area where a presenter can display images, PDFs, flat videos, and audio files.

# 3D Recording

A powerful feature within Foretell is 3D recording.  Leaders can record scenarios in VR, capturing the avatars' movement and speech in order to play it back as a hologram in front of the meeting.  The 3D Recording tool allows users to see themself from the 3rd person point of view and more easily assess their own performance compared to a 2D recording.

**To complete a 3D recording:**

1. Open your quick menu
2. Select the "Activities" from the Menu, or click on the "expand" button to the right of it.
3. Select the "Record" button to open the 3D Recording window

4. In the 3D Recording window, click the "Record" button with a video camera icon to start recording

5. A new window will open with information about how long the recording is. To stop the recording, click on the red camera button.

6. In the list of recordings, find one you wish to play and select the "Play" button to watch the recording
   1. If the recording was made on a different device with the same account, you can download the recording from our servers before playing it.

7. While the recording is playing, you can scrub through the "Playback Time" slider, and you can adjust the scale of the recording playback

# 3D Spatial Drawing

**The Spatial Drawing tools allows users to draw in a 3D space.  Users can select from a pallet of different colors to draw in the space around them.**

To enable the Spatial Drawing Tool:

1. Open up the quick menu
2. Select the Activities button to expand the Activities Tab
3. Select 3D Drawing button and click the "3D Drawing" icon that looks like a pencil and a cube
   1. To enable for everybody, use the "Enable for All" button in the top right corner of the button

When 3D Drawing is enabled, a color pallete appears.

* To begin drawing, grab the brush to the left of the color palette by pointing at it with a controller and pressing the "Grip" button on the controller
* While gripping the paint brush, use the "Trigger" button to paint in 3D space
* To change the color of the brush, point at the color palette with your controller ray and while hovering over a color press the Trigger button to select it
* You can delete drawings or undo and redo brush strokes using buttons underneath the color palette

# Secret Chat

Have you ever wanted to whisper to another participant without letting the rest of the room know?  This is what the Secret Chat feature is meant for.

To enable Secret Chat, the Leader will:

1. Click on the "Expand" arrow to the right of the Mute button
2. Click on the Secret Chat button to enable secret chat for themselves.&#x20;

# Interactive Ball

A great ice breaker when a new group enters VR is the Interactive Ball. The  Interactive Ball has multiple speed settings and can liven up a room while people are still getting acclimated to VR.

To enable the Interactive Ball:

1. Open your quick menu
2. Select the Activities tab
3. Select the Ball Game and click the ball icon to active the ball

To use the Interactive Ball use the Grip button to grasp the ball when it is in your vicinity.  Then when the ball is in your possession you can throw the ball to others. &#x20;

If the ball touches the ground or spends too much time without being grabbed, it will respawn in front of the last person to touch the ball after a couple of seconds.

# Avatar Customization

### Foretell supports Meta Avatars and the Ready Player Me avatar system.

**To edit your Meta avatar**: after successfully logging in you will be brought to the Lobby where you should see an avatar in front of a virtual mirror. On this page there is a “Choose Preset” or "Create Custom" button that you can click to edit your avatar.&#x20;

Clicking the “**Create Custom**” button will take you out of the Foretell app and into the Meta Quest menu to configure your avatar. To save your selection and exit from the Meta Quest avatar configuration menu, press the Oculus button on your controller. Upon closing the menu, your Meta Quest avatar configuration will load in to the Foretell app.

Clicking the “**Choose Preset**” button will give you a list of different avatar options to choose from.

**Voice Modulation**

After successfully logging in you will be brought to the Lobby where you should see an avatar in front of a virtual mirror with the ability to click “No modifier” and “Echo Voice” button.

Clicking the “No Modifier” button will give you options to choose how your voice sounds to others – adjust the pitch (high or low). If you want to hear what your voice sounds like, click the “Echo Voice” button.

# Adjust Headset Fit and View

Getting the right headset angle and strap adjustment for your head can help reduce pressure on your forehead and create a more comfortable experience. The steps below will guide you through the different adjustments you can make with the Meta Quest headsets.

1. If you're wearing glasses, make sure to insert the [glasses spacer](https://www.meta.com/en-gb/help/quest/3920738394639999/). When you're ready to put the headset on, put it on from front to back.
2. Put the headset up to your eyes by holding it with one hand and make sure you can see clearly. If content is blurry, try to gently [adjust the lenses](https://www.meta.com/help/quest/articles/getting-started/getting-started-with-quest-2/ipd-quest-2/) by shifting them left, then right until they click into the position that allows you to see what's on the screen most clearly.
   1. Do not worry about the straps until you've made sure you can see clearly
3. Now that the content in the headset is clearly visible, use one hand to hold the headset while another hand pulls the strap over your head. This way if the strap is loose, you will not drop the headset.
4. Next, adjust the side straps. To do this, move the two sliders at the back of the strap on either side of where the top strap meets the side straps
   * To loosen the side straps, move the sliders toward the top strap. To tighten the side straps, move the sliders away from the top strap.
   * After you move the sliders, re-center the top strap between the sliders so that the two sides are equal, and the top strap is centered on your head when you put the headset on.
   * Keep in mind, it is easier to remove the headset from your head to re-adjust the side straps with the sliders.
5. Once you've got the side straps set, put your headset back on and adjust the top strap. You can adjust the top strap by pulling apart the velcro and re-attaching it so that your Meta Quest rests lightly on your face and the picture is clear.
6. You can fine tune your headset fit and clarity by gently moving the firm arms on either side of your Meta Quest up and down to adjust the angle of the headset against your face.

Make sure that the straps aren't too tight. The headset should fit comfortably and not apply too much pressure on your face and head.

# Setting Up Guardian

Guardian is a built-in safety feature that lets you set up boundaries in VR that appear when you get too close to the edge of your play area.

* When setting up Guardian for the first time you should see what is called Passthrough, a feature which allows you to take a quick look at the outside world to help you get oriented in space while wearing the device.&#x20;
* We recommend being seated in a chair while in VR and using the Stationary Boundary.  Stationary Mode creates a default Guardian area of 1 meter by 1 meter centered on yourself.
* The first step in Guardian setup is to calibrate tracking by setting the floor level.  Gently lower your controller to the ground and look at it.  You should see a virtual grid appear near the floor.  Once the grid is correctly locked at floor level tap Continue.  From here you can select Stationary Boundary and then you will be transported into the VR environment.

# Turn on Hand Tracking

#### Follow the steps below to turn on Oculus Hand Tracking:

1. Press the menu button on your right Touch controller to pull up your universal menu.
2. Hover over the clock on the left side of the universal menu. When Quick Settings appears, select it to open the Quick Settings panel.
3. Select the Settings button in the top right corner.
4. In the left sidebar, select "Movement Tracking"
5. Select the toggle next to Hand and Body Tracking to turn it on or off
   1. Underneath this option is another toggle you can use to allow the headset to automatically switch between controllers and hands

#### Follow the steps below to cast your view from VR onto a web browser page:

1. Go to <https://www.oculus.com/casting>
2. Select Login and select Log in with the same email as the Meta account on your headset
3. While wearing the headset, press the Oculus button, click the Cast icon, and choose the Computer option.  What you are viewing in VR will then be display on the web browser page.

**To take a screenshot from your Meta Quest headset:**

1. Press and hold the meta button on your right controller, then pull the right trigger quickly.

### Video Recording

**To take a video from your Meta Quest headset**

1. Press and hold the meta button on your right controller at the same time as holding down the right trigger. A red dot will appear in VR to indicate that video is being recorded. Repeat the meta button and trigger button press to stop recording.
   1. Once the video has been recorded, you can select the notification that will appear to view your video, or open the **Camera** app from your Meta menu toolbar.

**An alternate method to record a video is as follows:**

1. Press the meta button on your right Touch controller to pull up your universal menu.
2. Select the **Camera** app
3. Select the "Record video" button
4. To stop recording, get back to this menu and click the "Recording" button

# Creating Users

This section outlines the process of adding new users, including navigating to user management, filling in user details, setting permissions, and optionally assigning users to groups.

**Step 1: Access User Management:**

* In the left sidebar select the "Users" option

**Step 2: Enter User Details:**

* In the "Add Users" form that appears on the left side of the screen, fill in the required fields:

  * *First name*: Enter the first name of the new user.
  * *Last name*: Enter the last name of the new user.
  * *Username*: Choose a unique username for the new user.
  * *Email:* This email is no longer used for the invite process, so if you wish you can simply put text in the format a\@b. As long as there's an @ symbol between two letters the form will accept it.

**Step 3: Set Permissions and Roles:**

* Choose a System Capability. Typically the only option is "Viewer", as only Foretell employees can create a new admin account for a client code.

* Choose a Meeting Role for this account
  * *Leader*: This account will be able to move the meeting between locations, play media, and enable/disable interactive activities.
  * *Participant:* This account will be visible with an avatar and be able to speak and move around the room, but will not have access to media or activities unless given permission by a Leader.
  * *Observer:* This account will be able to attend meetings but will not be visible or audible.

**Step 4: Add Additional Entries:**

* To add additional users, click on the plus button at the left of the row to add a new entry. To delete an entry, click on the minus sign next to the plus button.

**Step 5: Assign to User Group (Optional):**

At the top of the list of entries, there is the option to "Add all new users to a user group (optional) with three buttons.

* "None" - enabled by default, the users will not be added to any user group.
* "Existing Group" - selecting this will enable a search bar where you can find the existing group you wish to add these users to.

* "New Group" - selecting this will create a new section where you can define the name and description of a new user group that these users will be added to.

# Uploading Media

This section describes how to upload media, including accessing the upload interface, preparing files, initiating the upload, and managing the media within the platform

**Step 1: Access Media page:**

1. Navigate to the admin panel dashboard.
2. Click on the Media tab and then any of the Media sub-pages.
3. Locate and click on the "Upload Media" button to bring up the Upload Media modal.

**Step 2: Prepare Your Files:**

1. Ensure that your files are in the correct format (PDFs, JPGs, PNGs, GLBs, MP4s, MP3s, WAVs).
2. **Note:** that there is a limit of 5 files per upload session.

**Step 3: Initiate the Upload:**

1. Click or drag your media files into the designated area within the "Media Upload" box.
2. If you click on the area, a file explorer window will open, allowing you to select files from your device.

**Step 4: Managing Uploaded Media:**

1. After uploading, you can manage your media by assigning it to meetings as needed through your admin panel.

    * **By Access Code**: Select if attendees require a code to join.
  * **Public**: Select this if the meeting is open for anyone to join.

**Step 3: Set the Timing:**

* **Start**: Pick the starting date and time for the meeting.
  * If you are going to test the meeting immediately, you may want to set the start time in the past
* **End**: Choose the ending date and time.

* Click on the 'Add Logo' button to select an image from uploaded media files
* **Note:** The logo will be displayed on selected experience walls within the environments of your meeting.

**Step 5: Add Media:**

* To enhance the attendee experience, you can add various media files that attendees can view, spawn, or listen to within the meeting center.
* Click on the 'Add Media' button to select media files to add to the meeting. This can also be done after creating the meeting.
* **Note**: before adding media to the meeting the admin will need to upload media to the admin panel. See instructions under the [Uploading Media](/web-admin-panel/uploading-media) section.&#x20;

**Step 6: Adding Experiences:**

* **Starting Experience**: Use the dropdown to select the initial experience for attendees.
* **Add Various Environments**: You can add multiple experiences by clicking the plus sign next to 'Experience Name'. A dropdown menu will appear for each new experience slot you create, allowing you to select from various pre-set environments.
* **Attendee Capacity**: Choose the maximum number of attendees.

### Q: My headset has low battery. Can I use the Meta Quest while it is charging?

A: Yes, but keep in mind that your range of motion will be reduced since there is a cable attached to the device.

### Q: Why can’t I log into the app?

A: Please ensure that you are using the login information provided by your organization admin. To use the keyboard, point the cursor at the key you want to select and pull back the index finger trigger.

### Q: After changing my avatar, I can’t go back to Foretell app?

A: Press the Oculus button to return to the Foretell app.  Upon clicking the Oculus button, your Meta Quest avatar configuration will load in to the Foretell app.

### Q: Why can’t I hear anyone?

A: Your volume may be low.  Please use the volume buttons under the bottom right part of the headset to increase the volume. If that doesn’t work, please leave the app and rejoin by pressing the Oculus button on your right controller and selecting “Quit”.

### Q: Why do I feel low to the ground?

A: The guardian system that orients the headset to your environment has been improperly set up. Use your personal menu to adjust your height.  Open your quick menu, select the chair icon and click Adjust Self.

### Q: Why am I experiencing lag? Why are there audio/video issues?

A: Your internet connection may be weak.  If you can, move as close to the router as possible and ensure other devices are not using unnecessary bandwidth. If you are connected to a hotspot, ensure that your cellular data connection is strong.

## **Getting Set Up**&#x20;

### **Step 1: Charge the Headset and Replace Batteries if Needed**&#x20;

We sent you the headset already charged, but, to be on the safe side, please plug the charging cord into your Meta Quest 2 headset and a power source a few hours before use. The charging indicator turns green once the headset is fully charged. You can keep charging the headset while using it but note that the power cord will be connected to your device and may limit your movement. A fully charged headset typically lasts 2-3 hours.&#x20;

The battery level of the controllers will be indicated when you are wearing the headset and look down at them. If the batteries need changing, slide the cover downward on the controllers to open the battery compartment and replace the battery. We also recommend cleaning the lens with the sanitized wipes and replacing the batteries if they are low.

### **Step 3: Connect to Wi-Fi**&#x20;

To change the Wi-Fi network your Quest or Quest 2 is connected to from your headset: 1. Short press the Oculus/Meta button on your right Touch controller to pull up your universal menu. 2. Select Settings from the menu the appears on the bottom of the screen.&#x20;

1. Select Wi-Fi.&#x20;
2. Select the Wi-Fi network you'd like to connect to.&#x20;
3. If prompted, enter the password for the Wi-Fi network you'd like to connect to.&#x20;
4. Select Connect to connect to the Wi-Fi network.

### **Step 4: Setup the Guardian and Play Area**&#x20;

The guardian defines the boundaries for your VR activity. Whether you are seated, standing, or moving, the VR play area should be cleared from obstacles you do not see once you wear the headset. The guardian boundary can be stationary – a static circle, good for seated experiences, or can be Room Scale – which defines a larger area where you can move freely. Once you get close to the guardian’s edge, you will see that a virtual wall&#x20;

appears on your display to alert you that you may have crossed the safe area you defined. Once crossed, the Meta Quest will switch to a “pass-through” mode which shows you the actual environment through the cameras of the headset, so you avoid stumbling into objects.&#x20;
